Scheduled Reports allow you to automatically send ranking data via email to clients, stakeholders, or team members.

Instead of manually exporting reports, Keyword.com can generate and deliver them on a recurring schedule.

You can send:

  • PDF reports

  • CSV exports

Reports are generated automatically based on your selected projects and settings.

How scheduled reports work

A Scheduled Report:

  • Pulls data from selected Projects and Groups (legacy)

  • Uses your current column configuration

  • Applies your branding settings

  • Sends the report via email at your chosen frequency

Reports reflect the project structure and settings at the time they are generated.


Creating a scheduled report

To create a report:

  1. Navigate to Reports

  2. Click Add Scheduled Report

  3. Enter recipient email address(es)

  4. Select the Projects or Groups to include

  5. Choose frequency

  6. Select format (PDF or CSV)

  7. Customize the email message

  8. Save

You can:

  • Select multiple Projects

  • Include Group-level data

  • Send one combined email

This allows you to:

  • Send one client-specific email

  • Segment reporting per client


Choosing report format

1. PDF

Best for:

PDF reports reflect:

  • Visible columns (Settings → Table)

2. CSV

CSV exports include:

  • All visible columns

  • Current ranking data


Customizing the email message

You can create a custom email message that is sent alongside the report.

Features:

  • Supports HTML formatting

  • Can include branded styling

  • Applies to all scheduled reports

  • 10,000 character limit

To customize your emails:

  1. Go to Main Menu → Reports

  2. Click the 3-Dot menu → Email Settings

  3. Add details and click Save

This allows you to:

  • Include summaries

  • Add context

  • Provide commentary

  • Maintain brand voice

Note: The same email template applies to all scheduled reports.


Frequency & timing

Scheduled reports are sent automatically at your selected cadence.

This ensures:

  • Consistent reporting

How column settings affect scheduled reports

⚠️ Important:

Scheduled Reports mirror your column configuration.

To control what appears in reports:

Go to Settings → Table

Select the columns you want visible.

These column settings determine:

  • What appears in PDF reports

  • What appears in CSV exports

  • What appears in ViewKeys

If you change columns later, future scheduled reports will reflect those changes.


How branding applies

Scheduled Reports use your ViewKey branding settings.

This means:

  • Company name

  • Logo

  • Company description

  • White-label domain configuration

All apply automatically to PDF reports.

Editing or managing scheduled reports

You can:

  • Edit recipients

  • Change frequency

  • Update included projects

  • Modify email message

  • Delete scheduled reports
